Crayon Software Asset Management Managed Services Likes & Dislikes
Clear visibility and normalization of data: they take messy data from multiple tools and environments and turn it into a coherent picture, which makes decision-making far more grounded. Practical, vendor specific expertise: their understanding of major vendors' licensing models and audit behaviour means advice is concrete not generic and directly useful in negotiations. Ongoing optimizations not just a one-off project: The managed service model keeps the license position updated over time so improvements don't evaporate after a single big clean up.
SAM reports are quite good
Deep expertise in Software Asset Management, proactive insights that help optimize licensing and costs, and strong communication and reliable support form the service team.
Dependancy on timely internal data: if we don't keep CMDB's , deployment tools and HR system clean, the quality of SAM outputs suffers and there's ongoing work on our side to keep inputs accurate. Onboarding takes real effort: the initial discovery, data collection and contract gathering phase is heavy and you feel it before the benefits start to show. Service model can feel complex: between different reporting cadences, scopes and optional add-ons, it takes a bit of time to understand exactly what's included and where internal ownership starts and ends.
Good support but sometimes the PMs need technical support and are not indipendent on finding the solutions
Initial onboarding can be time consuming and reporting can feel complex for new users. Some recommendations require additional internal effort to implement

Crayon’s SAM Managed Services Shifted Licensing From Chaos To Structured Oversight
Crayon's Software Asset Management (SAM) Manged Services have been one of the few external partnerships that actually reduced our licensing chaos instead of adding to it. They helped us move from reactive "true-up panic" and surprise audits to a more predictable, data driven way of managing software spend and compliance. Day to day, working with Crayon feels like having an extended SAM team that keeps an eye on our state while we focus on projects. Once they connected to our key environments and normalized the data, we finally had a single view of what was installed, what was actually being used and how that lined up with out contracts, instead of juggling conflicting internal spreadsheets. The biggest change was in conversations with finance and procurement: instead of arguing about whether we were over or under licensed, we had concrete numbers, scenarios and recommendations to work from, which made budget planning and renewals far less painful. Our main problem was a mix of under-usage and accidental over-licsensing old projects left with active subscriptions, legacy on-prem licenses never reclaimed, and cloud/SaaS growth that no one was tracking centrally. Crayon's managed services team helped us clean up the install base, identify unused or underused licenses and align entitlements with real demand which led to tangible savings during renewals and true-ups. - It Analyst I<50M USDServices (non-Government)Review Source
