Overview

Product Information on Power Apps

Updated 13th October 2025

What is Power Apps?

Power Apps is a software developed by Microsoft designed to enable users to create custom business applications without extensive coding knowledge. The software allows integration with various data sources including Microsoft 365, Dynamics 365, and external platforms, supporting automation of workflows and streamlining data management processes. Power Apps provides features for building forms, dashboards, and mobile applications that address specific organizational needs, helping businesses to digitize manual tasks and enhance operational efficiency. The software addresses common challenges such as reducing reliance on paper-based processes, unifying information across systems, and enabling rapid solution development within teams.

Power Apps Pricing

Power Apps software uses a subscription-based pricing model, offering different plans that include per user and per app licenses billed either monthly or annually. Each plan provides access to app-building and usage capabilities, with higher tiers providing enhanced features and scalability. Costs are determined by the number of users or applications accessed, and additional pricing applies for premium connectors and specific data storage requirements.

Although not a replacement for out-of-the-box tools when it comes to project management, it is much more effective than previous offerings within MS. A much better option than off-the-shelf software for those who need flexibility within specific workflows.

CRITICAL

“Advanced functionality in Power Apps is extremely limited due to implementation bottlenecks”

I come to Power Apps with a full stack web dev background and have also used other low/no code tools. Power Apps does work for basic applications. For very simple web pages and data collection forms, you can be up and running quickly. However, building any form or application with any complexity is a lot of headache. The PowerFX code is very nuanced. Custom formatting of design elements or making responsive UX is incredibly difficult to achieve. Interaction with backend Dataverse tables can be very slow and hard to debug. Overall I don't recommend if you need anything more complex than basic surveys.

Power Apps Likes & Dislikes

Like

A big plus is not being forced into a specific methodology. You're able to build & customize the exact fields, stages, and approval gates needed (whether using Agile, Waterfall, or a hybrid). The challenge in manually building features that may come standard elsewhere is offset by the ability to build a Project Intake app that automatically scores projects based on ROI before needing a Gantt chart.

Like

The simplest use cases are easy to set up.

Like

I like the unique data we can reach now that members of my team can create apps to obtain this data. I like the simplicity of navigation in different Power Apps and how it can be simple to extremely complex. It's like a sandbox for data!

Dislike

Not necessarily something I dislike personally... but from a project management standpoint, here are three potential weaknesses depending on your needs/objectives: 1) Limits in handling data: If your project list or register exceeds 2,000 rows, Power Apps may stop searching the entire dataset and only rely on the first chunk. Invisible tasks are no fun for someone hoping to populate all results. 2) Blank canvas beginning: There are current PM tools that are not incorporated since you start with a blank canvas that is completely customizable. You will spend early hours simply building out the tool before you can practically use it. Gantt charts, Kanban boards, nested sub-tasks...get ready to build them. 3) Free can become costly: What starts out as a free solution within 365 licensing can quickly become costly. There's a premium paywall for those who need to connect to external SQL databases, use the AI Builder, or automate the generation of PDF reports. Even at just $xx per user per month, that can balloon to a chunk of annual change depending on your project team size.

Dislike

- PowerFX is not intuitive or well documented. - Complex interaction between application and database (beyond very basic create and update) is overly difficult to implement. - Custom element styles and responsive design are incredibly difficult.

Dislike

I still need to learn about creating my own Power Apps, instead of using apps others have created. Occasionally, it takes me a little while to learn a specific app because the layout may not make sense to me--but this is the internal developer's problem in my company, not an issue with Microsoft Power Apps

The product is mature, works reliably for the most part, includes nice integration with other Power Platform systems and can be simple enough to create simple apps. The designer can be improved more to simplify the usage of the tool.
