What we value most about Microsoft 365 for document management is its strong integration within the Microsoft ecosystem. Microsoft offers a true all in one platform, and the seamless connection between SharePoint, Teams, OneDrive, and Outlook is a major advantage for us. We make particularly heavy use of the Teams integration. It allows users to collaborate on documents in real time, share files quickly, and avoid sending multiple document copies by email. This significantly improves collaboration, version control, and overall efficiency. From an end user perspective, the familiar interface and the tight connection between the individual services make adoption easier and daily usage more productive.

Three strengths we have noticed when using Microsoft 365 are: 1. It seamlessly syncs with its associated apps even when the working device is offline, making it easy to take work on-the-go or in the midst of internet disruptions while still being able to save progress. 2. The fact that Microsoft 365 continues to use Microsoft apps rather than directing you to other software means you are still able to access their powerful features, not lose out on any functionality, and not have to worry about compatibility issues regarding file formats. 3. Setting up permissions for individual documents or folders, along with other security features, is an easy and consistent process. As a result, we have had no challenges in this area beyond the occasional user error.
The main drawback for us is the search experience, especially when users try to find documents directly in Teams or SharePoint. In practice, searching by document name is not always as intuitive, precise, or efficient as we would expect. This can make document retrieval unnecessarily time consuming and frustrating, particularly in larger file structures with many folders, libraries, and legacy storage concepts. While the platform offers many strong collaboration features, the usability of search could be improved further to support faster access to information.
The fact that the online versions don't have the same functionality as the apps, the lack of greater dissemination of new features/updates, and the overall impression are somewhat confusing.
Three areas of improvement we have encountered with Microsoft 365 are: 1. While there is AI functionality, it feels more like a glorified search function at the moment. Its ability to perform special functions within the apps compatible with Microsoft 365 feels limited. 2. Any updates in features or UI in Microsoft-affiliated apps, for better or worse, are also forced into Microsoft 365, which has unpredictable results for the user experience and can disrupt the working experience as they are forced to navigate unexpected changes. 3. The UI/UX experience when accessing Microsoft 365 from desktop versus mobile apps feels like completely different designs. As a result, navigation can be confusing as users have to code-switch their way of thinking when going through the app in the context of the desktop version versus the mobile version.
