My organization especially my team strugglers with the amount of documentation that we generate, not only in terms of managing it but also creating and updating new documentation. In addition M-Files has a strong integration with our base technology stack which is built on Microsoft (Teams, Sharepoint etc). Being able to navigate and organize our information more easily is always an underlying desire to remove analysis paralysis, information chaos and just improve the overall documentation process. Another key thing that we really enjoy is that while generating documentation there is always that one colleague that may use a certain keyword or possibly mis-spell something. Being now able to not only search by names but also be able to catalogue along with labels has really helped reduce human documentation errors. It was easy to use out of the box when we first got it up and running and we really hit the ground running when provided the tools to start to properly manage our information assets.

Support on general queries is always good - any urgent requests typically take longer to resolve. Implementation of new products has limited support in the way of demo's and supporting roll out - it's typically something I take the time to learn myself and generally no user guide documentation so I have to assume I'm using the product in the best possible way but no real best practise guidance.

    A solid document management solution with strong search and governance, but a learning curve

    Overall, the experience with M-Files has been positive. It has helped us bring structure to document management and reduce the dependency on folder-based storage. Metadata-driven organization makes it easier to find documents and maintain version control. Initial setup and learning took some time, but once users got familiar with the logic, day-to-day usage became smoother. Support and documentation are decent, though some advanced configurations require extra effort.

The first feature that really jumped out to me with M-Files is its ability to search through our literal swamp of data. I have had countless colleagues tell me that they made this wonderful documentation on the process, but a month later when we need to trouble shoot something all of a sudden its lost somewhere in a Sharepoint folder or shared drive. While being able to search within our Microsoft tools by injecting M-files its really made searching so easy that we have been able to track down documents from team mates that have long left the team. A second feature that we really like is that anything can be saved, labelled and classified. It makes it very easy to find any document even if the name may be mis-spelled or may not be a keyword that we would have commonly used. Thirdly I truly like the fact that the tool works as intended with no issues in terms of crashing, lag or having funny bugs. Its funny how this is an expectation of any tool but m-files really is quite solid and really gives you what it advertises.

The ability to customise as much as we can is attractive. Workflow capabilities are also nice alongside email notifications. View customisation helps keep M-Files looking clean from a user perspective.

Mfiles stands out as a robust solution with a metadata architecture that makes document searching and accessing incredibly simple. Instead of navigating through multiple folders, we are able to locate documents using attributes such as property name, project code, client document type, status or transaction stage. This has been particularly valuable in real estate, where we manage large volumes of lease agreements, property records, valuation reports, contracts and project files. Rather than trying to remember where a document was saved we are able to instantly access all information related to a specific property, development projevt or client. Mfiles includes advanced workflow automation capabilities that have also helped us streamline many of our business processes. we use automated workflows for contract reviews, lease approvals, document signoff, project documentation and compliance reviews. Documents are automatically routed to the appropriate stakeholders, reducing delays and maintaining a clear audit trail throughout the process. Security is another area where Mfiles performs exemplary well . Role based permission, encryption and audit trails allow us to securely manage property, client and financial information while ensuring that access is limited to authorized persons. This is important especially when handling confidential lease agreements, acquisition documents and investment related records. i also appreciate the platform's intelligent AI capabilities, which help classify documents, suggest metadata and make large volumes of property and project information easier to organize and retrieve. The mobile app has proven useful when attending site visits, client meetings and property inspection. It allow us to securely access and share documents from anywhere.

Dislike

There is a new user interface that has been introduced with the SaaS tool that has created a bit of a gap for our end users that prefer the desktop tool. For example there are certain features that are available on the online version but on the desktop version its either not available or hidden away. This has led a number of our colleagues have to have a discussion as to which version to commit to. While I do appreciate the choice between desktop or as a SaaS product I feel like the two versions dont always sync up and its best to commit to one or the other.

Generally we'd like to be further ahead than we are. There are lots of cool features M-Files has but due to limitations with our current email filing set up we're stuck until we can move forward.

There are times when document searches and retrieval tasks takes longer than expected, particularly whe workingwith large volumes of property and project documentation. while this is not frequent, it affects the efficiency when information is needed quickly during client meeting and project discussions. We also experienced learning curve during implementation. The metadata structure is significantly different from the folder system that many of us were used to. As a result, our team required training and onboarding to fully understand document classification, tagging and workflow management. Although this extended the initial adoption period, the longterm improvement in organization, accessibility and collaboration has made the investment worthwhile.
