I like how you can arrange files in different ways thanks to metadata. The drawback of this is that it requires a steep learning curve to make it work at its best.
The first feature that really jumped out to me with M-Files is its ability to search through our literal swamp of data. I have had countless colleagues tell me that they made this wonderful documentation on the process, but a month later when we need to trouble shoot something all of a sudden its lost somewhere in a Sharepoint folder or shared drive. While being able to search within our Microsoft tools by injecting M-files its really made searching so easy that we have been able to track down documents from team mates that have long left the team. A second feature that we really like is that anything can be saved, labelled and classified. It makes it very easy to find any document even if the name may be mis-spelled or may not be a keyword that we would have commonly used. Thirdly I truly like the fact that the tool works as intended with no issues in terms of crashing, lag or having funny bugs. Its funny how this is an expectation of any tool but m-files really is quite solid and really gives you what it advertises.
Mobile App - is not as good as we think it could be There seems to be a development opportunity for M-Files as there does not seem to be a user friendly way of handling bulk documents i.e. mailed merged docs that have been created in a different process away from M-Files that we want to store copies of in M-Files
Currently, the new user interface is getting some new features that are not present on the classic desktop interface. This would be fine if the new interface had all the features of the classic interface, but this creates a conflict when choosing between the 2, especially when a big feature like co-authoring only works on the new UI. We would have to force everyone to the new UI, but would have been missing out on features such as being able to create a desktop shortcut, or being able to search for folders within a view with virtual folders greater than the max allowed. Also, it would be great if within the search bar, we could search for virtual folders as well, not just objects, just like it works on OneDrive or File Explorer. Many people are used to this, and including that feature would be a big win.
There is a new user interface that has been introduced with the SaaS tool that has created a bit of a gap for our end users that prefer the desktop tool. For example there are certain features that are available on the online version but on the desktop version its either not available or hidden away. This has led a number of our colleagues have to have a discussion as to which version to commit to. While I do appreciate the choice between desktop or as a SaaS product I feel like the two versions dont always sync up and its best to commit to one or the other.

Managing Documentation Made Easier With Improved Search and Classification Features
My organization especially my team strugglers with the amount of documentation that we generate, not only in terms of managing it but also creating and updating new documentation. In addition M-Files has a strong integration with our base technology stack which is built on Microsoft (Teams, Sharepoint etc). Being able to navigate and organize our information more easily is always an underlying desire to remove analysis paralysis, information chaos and just improve the overall documentation process. Another key thing that we really enjoy is that while generating documentation there is always that one colleague that may use a certain keyword or possibly mis-spell something. Being now able to not only search by names but also be able to catalogue along with labels has really helped reduce human documentation errors. Manage and Track organisation level document on a single platform using M-Files
M-files is an overall document maintaining and tracking platform which allows organisations to manage and track complete data i.e. Purchase Order, Sales Order, Tax invoice, Tax documents etc. on a single platform. It makes the user to easily fetch the document as per the requirement and they do not have to switch to multiple platforms to fetch the organisation data. A solid document management solution with strong search and governance, but a learning curve
Overall, the experience with M-Files has been positive. It has helped us bring structure to document management and reduce the dependency on folder-based storage. Metadata-driven organization makes it easier to find documents and maintain version control. Initial setup and learning took some time, but once users got familiar with the logic, day-to-day usage became smoother. Support and documentation are decent, though some advanced configurations require extra effort.
