Powerful integration and security, but permission management remains complex

Enterprise collaboration is the main focus of Microsoft's Sharepoint, which also acts as a unified data hub for creating, storing, and archiving enterprise data. The platform provides and ensures seamless application integration of other business apps into the platform of some which are native and also 3rd party. Within the data repositories, SharePoint offers fast content processing and indexing features. The inbuilt search engine is well optimised and offers powerful search features for recalling and searching existing data which is fast and also reliable. In our experience of using the platform as the core data repository for BAU and project work, we rely a lot on the platform's resilience and speed for deliveries which is well offered by the platform.

One of the main advantage we have experienced with SharePoint is its centralized document management with version control. It enable us to keep contracts, property listings, transaction records and operational documents in one place, eliminating the confusion caused by scattered folders and multiple duplicate files. Another valuable capability is workflow automation through Power automate integration. We use it to streamline repetitive operational processes such as approvals and compliance related workflows without requiring custom development. Documents are routed to the right stakeholders, notifications are triggered instantly and approvals move faster with better visibility. This has reduced error, shortened turnaround time and allowed our teams to spend more time on high value activities rather than admin coordination. We also value SharePoint's integration across Microsoft 365 and its advanced search function. Documents stored in SharePoint can be accessed and co-authored across all Microsoft tools while remaining synced in one hub. It also enable us to quickly find specific files, records or information without spending time barrowing through multiple folders

Dislike

1)Standard out of the box search engine: While the platform offers strong search features with the backend, the front end search feels broken where some organizations may adopt a traditional data folder structure without meta data 2)Complex permission management: While the file and folder security feels and provides strict security, configuring the permissions requires more knowledge than the usual IT Tech person. Configurations such as inherited and nested permissions make it so you can accidentally share irrelevant content 3) Steep learning curve: Due to the fact that the principle offers and pushes many constant updates, the modern sharepoint UI changes frequently, Due to this fact some technical staff find it taking more time to understand deep site hierarchies and settings to get things done fast.
