“SharePoint Offers Strong Collaboration But Can Improve With Speed at times & Access Management”

4.0
May 11, 2026
I manage a newly created sharepoint drive for my team, which is shared with the wider team. It is one of the go to tools we use here in our organisation for daily collaboration. It has really good and seamless integration with other office apps, like powerpoint, word and excel. It can though feel heavy and slow at times, and mentions and giving access take some tuning to manage. Once set up properly though, it is a reliable workhorse.

After using Sharepoint for a couple of years now, I've developed a love-hate relationship with the platform.

It works greatly not only within our company but also with suppliers when we have action plans or projects with them. It can be managed by different people at the same time and be updated at such, reducing the possibility of any duplicate work.

We have been using SharePoint for more than 6 years now. The product has aided in document management, collaboration and general knowledge management. It has enabled us to enhance compliance, especially in document storage and sharing. SharePoint software supports electronic signatures, file synchronisation and encryption. The software has advanced search systems and metadata. Through use of the software we are able to share and access document content across devices remotely. SharePoint software is easy to use and allows us to streamline workflows and connect with our entire team in different locations.

Overall, SharePoint is a very useful tool because it allows me to share files without taking up space on my computer. It's extremely reliable and easy to use; it has features that go beyond simply sharing a file, and that's what makes it different.

SharePoint Likes & Dislikes

Like

Key features that I like the most include: deep integration with microsoft 365 platform, like you can co-author with word, excel and powerpoint. document management henceforth with the automated version history (which is a life saver really particularly when you are working with sales teams), co authoring make it far beyond any typical drive for collaborating on files. Another feature I really like is I can run forms and record responses within sharepoint, which at times has been really handy: running surveys and what not: the integrated dashboards/newsfeeds are amazing as well: no coding required.

Like

The real time collaboration features are great. Being able to work simultaneously on documents and sharepoint sites with my teammates is a great feature and helps us tremendously. The integration across the Microsoft ecosystem makes a big difference as well.

Like

I like the centralized storage of documents that allows for sharing across teams and easy organization once learned. I appreciate the secure platform because my organization handles very confidential files. I also appreciate how I can access SharePoint on my computer as well as my phone which has helped me tremendously when I'm mobile.

Dislike

In my personal experience, I think at times it is really hard to grant access to someone external to the organisation. And I am saying in miniscule of the cases (like 1 out of a 100), there is no troubleshooting option for this. My manager at times complaints that finding files which I have stored in some nested folders is really troublesome. Search at times can be a miss or hit, at times search results really irrelevant results and at times no results at all. Heavy files lag a lot at times, like firsly syncing through onedrive at times is really slow. Who can see feature can also see some improvements.

Dislike

The search function drives me crazy. I'll spend 10 minutes hunting for a document I know exists, trying different keywords, only to eventually find it buried in some unexpected folder that's not displaying using the search bar. The interface of the documents also feels clunky and outdated.

Dislike

The main weaknesses of SharePoint in my opinion is the learning curve to understand the platform. This makes it hard to search for specific documents based on various filters (who created it, when it was created, file size, file edition, etc.). Furthermore, the search function is non-intuitive and required many practice attempts to learn how to use it effectively.
