It's built into Google Workspace, so there's no need to install third party tools or third party agents to crawl Gmail, Drive or chat data. Setting up a legal hold to prevent data deletion is very straightforward and provides peace of mind for compliance. The platform provides clear logs of who searched for what and when, which is essential for internal security audits and accountability.
What truly sets Google Vault apart is its frictionless, native bond with Workspace. Unlike clunky third-party tools, it just works. Im most impressed by the surgical precision of its search; we can dig up specific data across thousands of accounts in a heartbeat. Having automated retention rules running silently in the background offers huge peace of mind for our legal team, as it eliminates the risk of human error or manual gaps.

The feature set is effective within the Google ecosystem, but it can feel limited for organizations that need broader third-party communication coverage or more advanced cross-platform governance. 2. Search and review workflows are useful, but they are not always as flexible or investigation-centric as some specialized archiving and compliance platforms. 3. Policy planning still requires careful internal alignment, because retention mistakes or poorly defined rules can create confusion later. 4. Reporting and deeper analytics are adequate for many use cases, but not especially strong if an organization wants richer compliance intelligence or advanced insights.
When dealing with large volumes of data (10GB) the export process can take a long time to prepare and occasionally fails without detailed error reporting. The Search UI lacks modern visual filters or a more intuitive query builder. It is strictly focused on Google services. If you need a unified archiving solution, this is not the right tool.
My biggest gripe is the common confusion between archiving and actual backup. Google Vault isnt a disaster recovery tool; you cant just undo a deletion and restore a file directly to a users Drive, which is incredibly frustrating. Also, pulling large data exports can be paintfully slow, and the interface feels a bit stuck in the past. Its a solid compliance vault, but as a functional management tool, it feels clunky and rigid.
