I think the best thing is just how everything kinda fits together. Like, I don't need a bunch of logins for different tools or waste time moving stuff back and forth, it's all right there. If I need to grab some numbers from excel and throw them into a PPT for a meeting, that's done in a few clicks, nothing complicated. Same goes for jotting down notes in OneNote and having them handy whenever I need them. I really appreciate how easy it is to organize my emails in Outlook, especially when there's a ton of updates flying in from different teams. It keeps things tidy and I can always find what I need. All those features save a lot of time, sometimes I barely notice how much work gets done because all the little tasks just flow better. It just makes my day feel less hectic, honestly.
Easily accessible from any device so long as you remember your credentials and they remain valid. Fairly simply connection to a wide variety of other services that doesn't require you to be operating within a Microsoft Application.
What we value most about Microsoft 365 for document management is its strong integration within the Microsoft ecosystem. Microsoft offers a true all in one platform, and the seamless connection between SharePoint, Teams, OneDrive, and Outlook is a major advantage for us. We make particularly heavy use of the Teams integration. It allows users to collaborate on documents in real time, share files quickly, and avoid sending multiple document copies by email. This significantly improves collaboration, version control, and overall efficiency. From an end user perspective, the familiar interface and the tight connection between the individual services make adoption easier and daily usage more productive.
To be honest, there's nothing major that bugs me. But if I had to pick: Sometimes, the sync between OneNote from desktop to mobile is a bit slow, so I end up refreshing a bunch till it finally synced. Secondly, Excel crashes once in a while when I'm working with bigger files, especially during heavy reporting weeks. It's not frequent, but when it happens, I lose a couple of minutes reopening everything again. Lastly, Outlook's search is kind of a hit or miss for me. Sometimes it just doesn't pull up the right emails, even if I know for sure the name or keyword's there. I end up scrolling through the folders manually more often than I'd like.
Microsoft 365 lacks an intuitive design on the functionality/UX side, and easy access to features common to many other document management solutions (even those also offered by the same company). It really makes you wonder why you would be using 365 when there are other options from Microsoft better suited to document management tasks.
The main drawback for us is the search experience, especially when users try to find documents directly in Teams or SharePoint. In practice, searching by document name is not always as intuitive, precise, or efficient as we would expect. This can make document retrieval unnecessarily time consuming and frustrating, particularly in larger file structures with many folders, libraries, and legacy storage concepts. While the platform offers many strong collaboration features, the usability of search could be improved further to support faster access to information.
