I have been using Notion on and off. I always come back to it because of its immense power and ability to act as a "2nd brain" where you can store all your project management, however it is a daunting software that requires a lot of attention to setup and learn.

    Still a great platform, but moving away due to unsustainable per seat pricing

    The flexibility of the platform is its main strength, and it has been our internal knowledge repository and project/product management tool of choice for many years. However, from its roots when their founding team had figured out the smallest number of elements required to cover most use cases, the tool has become bloated with too many options and slow, losing a lot of what made it great to begin with.

    From a community engagement standpoint, this is a great collaboration tool that manages all of our community documentation. I feel that it is underrated since it does more than this. For instance, my team uses it for making communication notes, developing project workflows, creating community guidelines and organizing technical knowledge bases. The flexibility of its databases for building and maintaining product roadmaps, the ability to easily link related pages and create a true knowledge base, and the way notes, documentation, and reference materials can live together in one centralized, searchable workspace.

Its flexibility and the fact that you can tailor pages to your needs, via elements, automations, etc. making pages and databases behave as needed for different purposes. It's like the swiss army knife of internal pages, kanbans, etc.

There's a learning curve for setting up and maintaining more complex databases, occasional performance issues with large or highly linked workspaces, and the mobile app experience can feel limited and clunky compared to the desktop version.

Pricing: for a tool that needs to be accessed by everyone in the company, the per seat pricing is way too high, and they have decided over time to lock some essential features behind higher plans at even higher per seat prices, which is the primary reason why after many years with Notion we are now in the process of moving away from it. 2. The platform has gotten worse in many ways over time, and while more features and options have been added it has lost a lot of what made it great in the first place.
