FAVORABLE

“Still a great platform, but moving away due to unsustainable per seat pricing”

4.0
May 28, 2026
The flexibility of the platform is its main strength, and it has been our internal knowledge repository and project/product management tool of choice for many years. However, from its roots when their founding team had figured out the smallest number of elements required to cover most use cases, the tool has become bloated with too many options and slow, losing a lot of what made it great to begin with.

“Notion Centralizes Project Management But Setup Process Remains Complex for Many”

3.0
Apr 2, 2026
I have been using Notion on and off. I always come back to it because of its immense power and ability to act as a "2nd brain" where you can store all your project management, however it is a daunting software that requires a lot of attention to setup and learn.

Notion is an excellent tool for keeping all of my daily tasks organized in one place, and has everything I need for managing my personal and team projects. Being able to customize what elements I include helps cut down on unnecessary clutter.

Flexible Collaboration Enhancing Communication Knowledge Sharing

    5.0
    Feb 9, 2026
From a community engagement standpoint, this is a great collaboration tool that manages all of our community documentation. I feel that it is underrated since it does more than this. For instance, my team uses it for making communication notes, developing project workflows, creating community guidelines and organizing technical knowledge bases. It also helps with engagement planning and it supports our available resources. My overall experience; it is an adaptable and efficient tool

Pre-Existing Templates Simplify Project Planning But Customization Can Be Time-Consuming

Very convenient pre-existing templates (including free ones). It is pretty easy to make them your own or create a new one to fit the needs of a specific project.

Deciding Factors: Notion Vs. Market Average
Performance of Notion Across Market Features

Notion Likes & Dislikes

Like

Its flexibility and the fact that you can tailor pages to your needs, via elements, automations, etc. making pages and databases behave as needed for different purposes. It's like the swiss army knife of internal pages, kanbans, etc.

Like

One-stop software for all project management and note keeping in one place.

Like

Notion has so much customization potential, so if you take the time to set it up for yourself the possibilities are endless. The template options that Notion provides are great, and there's a large variety to choose from to make your setup easier. The option to use collaboration tools like meetings and shared pages is excellent since you can manage both personal and team tasks in one space.

Dislike

1. Pricing: for a tool that needs to be accessed by everyone in the company, the per seat pricing is way too high, and they have decided over time to lock some essential features behind higher plans at even higher per seat prices, which is the primary reason why after many years with Notion we are now in the process of moving away from it. 2. The platform has gotten worse in many ways over time, and while more features and options have been added it has lost a lot of what made it great in the first place.

Dislike

Complex and intimidating. Need to watch YouTube videos to learn how to use and setup.

Dislike

For Notion to best help with your workflow and productivity, it needs to be customized for you, so there is an initial setup time and learning curve to overcome. If you do create very large pages with a lot of features it can also lag sometimes. The user experience of the mobile app version could be improved; a lot of pages created on desktop do not work well on mobile unless they are very simple note taking pages or to do lists, and the navigation menus feel slightly cramped.
