“Microsoft 365 Offers Unified Tools but Separate Licenses and Minor Lags Noted”

4.0
Apr 23, 2026
I have worked with Microsoft 365 in two ways, one as an end user and also as an administrator. On an overall, I will describe my experience with its communication and collaboration features. From a user's perspective, I use Microsoft Teams for my day to day communication and it helps me a lot in my work. Whether it's chatting, work update sharing or meetings (audio/video calls). It is easy to schedule meetings and also that I can join them from my mobile is one of the features worth mentioning because when I am away from my desk. It is very helpful to not miss any of the updates. Also the feature I find most helpful is that I can collaborate on documents while being on a call, which saves a lot of time and reduces time to switch between different apps. Now, as an Admin also My experience with Microsoft 365 gives me centralized control through the admin center. I have used it to manage licenses of a user and integrations with the different identity providers. This helps in making things from a unified platform which reduces me switching between tools and that reduces time and improves my efficiency in my workplace. For these things I can say, It as an unified communication platform has been positive.

“Integration and online access make it easier to work across different connected devices.”

I use many of the tools in 365 in general. The fact that connections can be online and everything is connected makes daily life much easier, especially when accessing the system from multiple devices.

Microsoft 365 Likes & Dislikes

Like

As an admin I like is that from now on I can control all the licenses that users have can be controlled by Microsoft 365 and no other place and it is an easy process to do that basically I am talking about the centralized management Also the MFA is a feature I should mention as its one of the best security features in this. As a user, its ease of use is worth mentioning. The main thing is it has many powerful tools which make my work easier and faster in day to day life and collaboration between them and the centralized management helps a lot to communicate and coordinate with different things from a single platform.

Like

1 - Easy access across multiple devices 2 - Interconnected systems 3 - Online access

Like

The biggest strength is how everything is connected. Moving between Microsoft Teams, Outlook, and OneDrive feels seamless, and that saves time. Real-time collaboration has also made a noticeable difference, as people can jump into the same document and make updates without the usual back and forth sending versions around. It's also flexible in terms of access. Whether someone is working from home, on the road, or in the office, they can get to what they need without much hassle. From an admin side, the security and compliance features are reassuring, especially as the organization grows.

Dislike

Heavy dependency on internet quality and complex licensing and addons are a few dislikes I can say. There are also performance issues with large scale usage. Faster support is possible with higher tier plans. Support solution ti differ from issue to issue and sometimes it might take more time.

Dislike

The fact that the online versions don't have the same functionality as the apps, the lack of greater dissemination of new features/updates, and the overall impression are somewhat confusing.

Automated Translation from Portuguese
Dislike

It's not always as straightforward as it looks. There are a lot of moving parts, and sometimes it feels like you need to know the Microsoft way of doing things to avoid confusion, especially when it comes to where files are stored between teams, SharePoint, and OneDrive. Updates can also be a bit hit or miss. Features change or move around without much notice, which can be frustrating for users who just got comfortable with how things worked. While it's powerful, licensing and pricing can get complicated pretty quick.

What Your Peers Are Saying About Microsoft 365

Director of Architecture
I am looking for some suggestions on Project Management Solutions. This solution should provide things like: - Support both Waterfall and Agile methodologies - Automation workflows - Task Breakdowns - Integrates with Microsoft 365 technology stack.   We are a $10B Financial Institution currently using SmartSheet looking to evaluate a newer and more scalable solution.
Director of Operations
Azure DevOps has decent connectivity with Microsoft365.  While it's not designed for waterfall, there's nothing that prevents you from using it that way.  There's a plethora of plugins and customizations that may help you do what you want.  I agree with Pranay below, there may not be one single provider that can check all the boxes.

What is the roadmap and future development plans of Copilot for Microsoft 365 and the alternative AI tools?
Information Security Analyst
We have been quite aware over three years regarding the benefit of AI tools and services.  The city started doing Chatbot POC's in 2022 and since then deployed 2 Chatbots (our external Denver website) and (internal city TS Support). Both of those solutions are SaaS. We are allowing Github for CoPilot for our city TS developers/contractors.  CoPilot for Microsoft Office 365 is under review considering the investment for licenses.   We also did a citywide inventory of systems that already have or will soon have AI features.  We also utilize the AWS Platform.

Microsoft 365 Integration Streamlines Collaboration But Can Cause User Confusion

    4.0
    Apr 13, 2026
We've been using Microsoft 365 across the organization for a few years now, and overall it's been a dependable platform. It covers pretty much everything we need, from email, file storage, collaboration, and the standard office apps, so we're mot constantly switching between different tools. Once it's up and running, it generally just works, which is honestly what you want from something this central to daily operations.

Microsoft Platform Offers Streamlined Administration Though Copilot Value Is Still Evolving

Over the past few years, the platform has matured significantly, especially in terms of its cloud-based applications. Many of the web versions of the core productivity tools have improved to the point where we rarely need to rely on their desktop counterparts.

The Microsoft tools you're used to, without storage issues. Unfortunately with a heavy price tag.

Having been gifted a one year license for this product to use on my computer, I have to say that while the license was active everything was exceptional. You get used to having everything ready for you, on whichever device you're using as long as it had internet connectivity, which honestly feels great. The problem is when you're close to your renewal, when you see that moving away from it would be painful to migrate, but staying with it would be pricey, specially for personal use.
