We use Basware AP Automation with SAP to manage invoice capture, matching, approval routing, and exception handling. Before the implementation, too much of the process depended on shared inboxes, manual data entry, and follow-up emails to approvers. Basware has given the AP team much better visibility into where each invoice is in the process. It is easier to see whether an invoice is waiting for approval, has a matching issue, or needs additional information. This has reduced the amount of time spent searching through emails and responding to basic status questions. The biggest improvement has been with PO-backed invoices. Once the matching rules were configured and the supplier data was cleaned up, a larger portion of those invoices could move through the process with limited manual work. The audit trail is also useful during month-end and when responding to internal or external audit requests. The implementation required more effort than we expected, but the system has made invoice processing more consistent and easier to monitor.

Overall engagement with Coupa, either from the general support to Support Account Manager and Coupa CAM, is generally very good. Time to resolution is sometimes found wanting and could be quicker, as any delay from Coupa results in a knock on delay for us and our internal business partners. Generally i have no complaints about Coupa and the service provided, but flexibility in product setup is often something that holds us back from using the tool the way our business teams would like it used. I am very aware that one size does not fit all, but some small changes to the overall way Coupa manages data and the various options open to us for how information is deleted for example, but having a deletion status rather than just deleting the record outright would be really helpful.

It makes paying and analyzing invoices much easier as it automates the process of scanning invoices as well as finalizing payments from vendors.

We rolled out Bill.com to replace a part of our manual AP process that ran on email approvals and paper checks. The Core value showed up fast: invoices land in one inbox, get routed by rule and pay out via ACH with an automatic audit trail. Approval routing and the transparent audit trail were the biggest immediate wins over our previos setup. Implementation took roughly 8 weeks with 10 users. It is not a full accounting system, it sits as a layer on top of Sage Intacct rather than replacing it. Net: a clear improvement for volume AP, with a real friction on support and fees.

Ramp is incredibly easy to use and makes submitted expenses hassle free. I often order dinner for the office and expense it and it makes it incredibly easy. I've also done some work with the Ramp API and it's been overall very easy to use and getting more featureful even as I've been using it!

Exceptional Software to use for data mining and analysis. It made late payments easier to detect.

Really love the automated three-way match process for this product. It's great to have a supplier set up with catalogs for our teams to select goods that have already been pre-coded for accounting purposes, which saves a significant amount of time for the Accounting team. Customer service is responsive and quick to help resolve issues or questions identified via ticket or email. The integration process went longer than initially anticipated and we are still working through various things we've identified since post go-live, but the Vroozi team has been great to partner with in resolving.
