My overall experience with UpKeep Asset Operations Platform has been positive. We use it primarily to improve visibility into maintenance activities, equipment history, preventive maintenance execution, and spare parts management. Prior to using a dedicated asset management platform, much of our maintenance information was spread across spreadsheets, email threads, and locally managed records, which made it difficult to maintain consistency. One area where the platform has provided value is asset traceability. When a production asset experiences recurring failures or operational issues, it is helpful to review historical work orders, maintenance actions, and inspection records associated with that equipment. Having that information centralized reduces the time required to investigate equipment reliability concerns and supports more informed maintenance planning. The preventive maintenance functionality has also been beneficial. Scheduled maintenance activities are easier to track, and supervisors have better visibility into overdue tasks. In manufacturing environments where asset uptime is critical, it is important to minimize the risk of maintenance activities being overlooked. The platform helps make PM compliance more visible and easier to manage. I have also found the work order workflow to be straightforward. Requests can be logged, assigned, tracked, and closed within a single system. This creates better accountability compared to relying solely on emails or verbal communication between departments. The biggest challenge is not necessarily the software itself but maintaining consistent user behavior. The quality of the data depends heavily on how well technicians, planners, and supervisors document their work. When users enter detailed failure descriptions, corrective actions, and parts usage information, the system becomes much more valuable. When documentation is minimal, the historical record becomes less useful for reliability analysis and continuous improvement efforts. Overall, UpKeep has provided a solid foundation for maintenance management, asset visibility, and work order control, but organizations should recognize that process discipline is just as important as the software.

Once you're familiar with the interface, it's very intuitive to use. I admit that the first few days it was quite confusing due to the number of modules and options, but once I became familiar with some of them, I understood that most of them work in a very similar way. I think it's a tool that can greatly help us manage our entire maintenance area, as long as the database is always up-to-date and all the information in it is accurate. However, I don't find it very practical that much of the information to populate the platform has to be entered manually. I also find the information that can be shared with third parties, our clients, very limited, since the module only shows them the requests they make. It would be much more efficient for our organization if they could also access the technical analysis module, so they could see the statistics on assets and work orders for the equipment and locations from which these requests are made. This would give them a much clearer picture of costs, times, and other statistics. Another issue I dislike is how poorly designed the Android phone app is, since the buttons at the top are below the phone icons that show battery, network, wifi, etc., making it very difficult to tap any of the top buttons.

Integration Success: - Integration restoration after refresh has been workable but detail-heavy; SAML2, HTTPURLLOC, Concur connection maintenance, Ariba CIG reconfiguration steps, SAC CORS allowlists, and transport/domain checks. - Industry-observed: S/4HANA integration reliability is high when identity, certificates, and endpoint governance are managed as first-class operational controls, not post-go-live afterthoughts. The biggest practical value has been consistent low-environment refresh capability using production-like data, enabling more realistic testing and reducing avoidable defects before release.
