We currently rely on Conluence as our primary documentation platform company-wide and as the main workspace for exchanging knowledge across different teams and departments. Personally, as a CRM admin, I make great use of Conluence by establishing it as the "go-to-place" for documenting anything related to CRM and sales processes, which comes in handy not only for the smooth onboarding of new joiners but also for providing quick and consistent user support there after. While I can certainly see some room for improvement, I would say it's the best documentation tool I have used so far.

However, as a smaller, fully-remote company we have encountered challenges with content management, which has led to materials frequently being outdated and disorganized, limiting the effectiveness of the sourcing.

Documentation is probably one of my least favourite parts of my role, but I would say in the last 1,5 years that I have been using Confluence it has definitely become a bit easier. I think this is the case because the platform has a very good way of standardizing the writing process and offering a set of different out of the box options in front of you. This definitely makes it easier to start typing, which is always the toughest part. Similarly, it offers you a number of different tools in order to help you release content that is comprehensible and that engages well with your internal audiences. For instance, it makes it pretty easy to embed images and video, which are both formats that perform better with sales users. In addition, it gives you an estimation of how much time will the reader need to go through your material but at the same time it allows you to insert expansions within your text, which save space and make your content more easily readable (it's the first tool that I have seen doing that). However, the biggest advantage by far is how effectively it centralizes the storage of knowledge within any organization (bigger or smaller) by enabling smooth cross-user collaboration and precise linking of different pages and Spaces.

Although it is really simple and user-friendly to link pages together and create internal topic clusters, this could also turn to a disadvantage. By nesting many pages under the same topic, things can get really overwhelming pretty easily and users may find the tool more intimidating than useful, which is the exact opposite of what we are trying to achieve. Finding that right balance is as tricky as it is important. Similarly, if you rely on the search bar in order to find what you are looking for, you might be unpleasantly surprised as it is far from being precise yet. Another thing that I wish could be improved is the customization options for a single page. Here Confluence falls a bit short in comparison to a simple word doc because, due to offering a well-structured environment by default, it ends up being much more limiting in terms of design flexibility (e.g. page layout, styling and formatting options, graphics, etc.).

Materials are often outdated and unorganized, primarily due to the need for individual contributors to consistently update this detail based on their personal projects. Having a more intuitive or automated system to generate projects and tasks within the system could help with the organization.

What i dislike most about the product is that it can have a learning curve for new users or those who become admins of content. Particularly, when it comes to organizing content effectively, formatting pages and customizing them. These features have been somewhat limited, but have improved in recent years. Creating highly polished or complex documentation can be a challenge. They do provide ample resources and directions on how to navigate the building and formatting, so this does help navigate this challenge.

Question about SSO and WordPress: Does anybody have experience with miniorange? They seem to have a bunch of interesting solutions. The first workflow I'm looking at is to use the user DB from one WP site on to a second one with a simple plugin, but they also have more advanced options like managing the full LDAP or syncing 3rd party apps. This could be interesting to link a download center with a LMS system swell as the internal Office365 users and clients using a Jira or confluence system. What product can you recommend that provides document (email, word, pdf) review and approval workflow? Needs to provide versioning, multiple approval workflows (parallel, serial, and/or), scheduling/deadlines, and reminders. I've looked at Exchange/Outlook/Sharepoint solutions (we use MS365), and they are either overly simple or overly complex.  There seem to be some solutions with Jira/Confluence.

If you are already using Microsoft 365 you should definitely check out the Power Apps/ Power BI suite. You can build easy to use forms and worflows that embed neatly into Outlook and Teams.

    Overall, my experience with Atlassian Confluence has been positive. It provides a centralized location platform for all of our documentation resources and allows us to collaborate globally. It makes it easier to organzie, share, and access information across teams. The integration with other tools Atlassian offers has enhanced our workflows, and provided effective content management. There is a learning curve for admins and the upkeep and maintenance can be tedious if you are not aware of all the abilities and permissions or limitations in formatting, but it is a reliable tool for knowledge management and team collaboration.

    My experience with Atlassian Confluence has been positive, particularly in large scale enterprise environments. It has served as a reliable central knowledge hub that supports collaboration across distributed teams and departments inside the bank. We also do use it with other tools like Atlassian tools. However, as content grows, performance and information architecture become harder to manage. Navigation can feel cluttered without strict governance, and advanced customization often requires additional plugins or admin effort. While the platform is powerful, it benefits most from a strong upfront structure and ongoing content ownership.

    Confluence Shifts From Daily Collaboration Tool To Archival Documentation Platform

    We’ve used Confluence pretty heavily for many years during our early years as a company, and it’s served us well as a central hub for team documentation. As we evolved over time, it became less of a day-to-day piece and more of a go-to archive place for our historical notes, product specs, and meeting records. Its built-in search function made it easy to find what we needed, and it still plays an important role today.

    Confluence Used for SOPs and Documentation Despite Search and Offline Access Issues

    We use Confluence mostly as a warehouse of knowledge across multiple clusters and teams; we also use it with Jira to help with monitoring statuses of projects. As a valuable source to manage SOPs, documentation, walkthroughs and timelines, Confluence is an every day necessity among all team members, from juniors to seniors.
